Document collection contact without oversharing

How to keep an account timeline, conduct log, and redacted evidence set that can support a provider or regulator complaint.

A useful collection record does two jobs: it shows what happened to the account and it preserves how people communicated. Mixing those into one stream can make both harder to review.

Keep an account timeline

Start with the agreement date, amount released, scheduled due dates, payments made, and any written restructuring or settlement offer. Attach payment references and provider acknowledgements. If a balance is disputed, note the amount shown by the provider and the amount calculated from the available records; do not erase one to make the other look certain.

Keep a separate conduct log

For every relevant call, message, email, or visit, record the date, time, channel, sender identifier, and a short factual description. Quote only the words needed to show the issue. Note whether the communication went to the borrower, a named guarantor, or someone else.

The 2026 joint NPC/SEC/DICT advisory addresses harassment, intimidation, public shaming, threats, excessive processing, and contact with people in a borrower's contact list who are not named guarantors. The log should preserve evidence of those facts without making a legal conclusion in the heading.

Redact before sharing

Keep an original copy privately, then prepare a review copy. Cover unrelated phone numbers, contact names, faces, addresses, account credentials, and messages outside the event being reported. Never forward an entire contact list to prove that a collector had access to it. A permission screen, a message to an unrelated third party, and a concise explanation may be enough for the receiving body to understand the concern.

Match the packet to the route

The provider's formal complaint channel is usually the first place to request correction and obtain a case reference. SEC lending resources apply to lending and financing companies within SEC scope. BSP's Consumer Assistance Mechanism applies to BSP-supervised institutions and is not a general route for every lender. Privacy processing concerns have a separate NPC context.

Prepare one cover page listing the provider, product, account reference in masked form, issue type, requested resolution, and attachment index. A reviewer should be able to understand the chronology without opening every screenshot.

Preserve, do not publish

Publicly posting a collection exchange can expose the borrower, third parties, or even the complaint itself. Keep evidence for the provider or proper authority. If a community discussion would help, describe the process without uploading identifiers or naming uninvolved people.
